Information systems (IS)

1.  Academic information system (AIS) is used to record complex information about the study program - study plans, information sheets, professional characteristics of employees, records, and information about the course of study - admission procedure, student and teacher hours, course and results of studies, final theses, state exams. Through an anonymous questionnaire published in AIS, the evaluation of education and teachers by students is also carried out. Through AIS, data are provided to the Central Register of Students and the Central Register of Final Theses. At the management level, AIS serves as a source for reporting teaching and for measuring the educational performance of workplaces and their employees. The information collected in AIS also serves as a basic source for accreditation and the creation of study offers.

2.   Videoconferencing system (meet.sk) - https://meet.ukf.sk/ - serves to provide distance teaching, examination, and evaluation of students, including the implementation of state exams, online consultations and other activities related to the study.

3.   Accommodation is solved through a separate module UIS (Accommodation system, https://uis.ukf.sk/) and secured by connection with AIS and LDAP of the university.

4.   Library Information System (KIS) https://kis.ukf.sk/opacXE - ensures the activities of the university library. Records of publishing activities are operated within the library information system, while allowing access to personal publishing activities for each employee both at the level of insertion and at the level of obtaining publication and citation outputs. The obtained data serve as a source for the evaluation of employees and workplaces in the field of publishing performance and at the same time represent a source for the Central Register of Publishing Activities.

5.   The document management system (DOC) serves as an authorized zone for university staff and students and together with the intranet part of the website provides access to current documents (internal regulations of the university and faculties, forms, decisions of the rector, deans (e.g., in scholarships)), software (licensed and freely available), working material of control components, etc.

6.   E-learning portal (EDU) https://edu.ukf.sk/ - serves as a full-fledged replacement for the full-time form of teaching. It serves students, teachers, researchers as well as the management of individual departments of the faculty.

7.   UKF portal - which consists of several modules that contain data on the basic characteristics of the employee displayed in the public directory of employees, performance indicators of publishing, artistic, project and other activities of the employee.

8.  Registry (https) - https://uis.ukf.sk/

9.  Catering system - https://www.stravovanie.ukf.sk/

10. Ordering system (OSYS) - ttps://osys.ukf.sk:4443/osys/users/login/?u=%2Fosys%2F

11. Attendance system (Watt) - https://watt.ukf.sk/

12. Employee Portal (ESS) - https://portal.ukf.sk/kvalita/index.php?r=site/login

13. Web mail for staff and students- https://posta.ukf.sk/webmail/

14. University website - https://www.ukf.sk/

All information systems communicate with the user through a secure channel. To simplify access and minimize the possibility of theft of access data, central authentication has been deployed, which stores the access data of employees and students via LDAP and enables their authentication on request from all information systems.

The system is connected to the financial and personnel system (SOFIA) so that the employee is automatically blocked access to the systems and facilities of the university upon termination of employment and, vice-versa, access is created upon acceptance.

An important step presenting the university level was to participate in the Eduroam project, the basic idea of which is to enable students and academic staff to connect to a computer network in another academic institution without having to register or obtain access data. Connecting to the network requires only the username and password that the user uses in the home institution. We anticipate use by both university visitors and our students and staff. The presentation of the university on the outside is provided by its website.

Access to study literature through the library collection and library services

The newly built premises of the university library of both interconnected buildings (tracts A and B) enable the quality and clear provision of all basic library and information processes and services that are placed on the current modern library. In the new premises, the entire collection (books, periodicals, scientific-qualification works, electronic media, audio, and video documents) is available for free selection, except for older scientific-qualification works, which are enclosed in compact shelves. In addition to the central library, a literature study room for students of the Faculty of Arts on Hodžova Street is available to users, and a second study room on Kraskova Street provides literature and services to students and teachers of the Faculty of Social Sciences and Health Care. In addition, the university library manages sub-libraries in almost every department and workplace of the university.

The UKF library collections currently comprise 275,658 book units and 338 titles of subscribed periodicals, of which 201 are Slovak and 137 are foreign. Three periodicals are subscribed online in electronic form. The University of Constantine the Philosopher acts as an active member of the all-Slovak project of the National Information System for the Support of Research and Development in Slovakia - Access to Electronic Information Resources (NISPEZ IV). The strategic goal of the project is to provide information support for selected top-quality research and development institutions in Slovakia, including the provision of support and related activities. The means of this support is the centralized purchase of access to the most important electronic information resources, reflecting the current situation in the field of open access to information (Open Access) in the world.

Since 2014, the university has made it easier for the next generation to search for information with a single query from the above databases, The Summon® Service. This search engine is a product of Serials Solutions with a solution concept called "discovery service". Summon® directly indexes metadata and full texts from individual publishers, so the response to a query is almost instantaneous.

The comprehensive scientific research activities of the university are covered by additional services, such as the interlibrary loan service (ILL), the international interlibrary loan service (MMVS), bibliographic information and search services, and educational services for UKF staff and students. The scope of the University Library continues to include the processing of records of publishing activities of employees in the national Central Register of Records of Publishing Activities (CREPČ) and the processing of records of artistic activities in the national register of artistic activities (CREUČ) for the Ministry of Education, Science and Research. The library links cataloguing records of scientific-qualification theses of UKF students to full texts in the Central Register of Final Theses (CRZP). The employees of the bibliographic department participate in the information education of employees and students by organizing professional courses and seminars. By updating the website (www.uk.ukf.sk), the library seeks to make information available to interested parties and visitors’ about the library's activities, licensed and unlicensed information databases, an online catalogue, publishing and artistic activities of school staff and the sale of publications through the e-shop.

The library has 5855 titles from the field of English (MDT 802.0 + MDT 372.880.20), of which 256 titles are script literature and 180 titles are on another medium, i.e., 5419 is a book production. Furthermore, the library has 4381 titles in the field of English literature (MDT 820), of which 47 titles are script literature and 36 titles are on another medium, i.e., 4298 is a book production. Of this number, 3079 are fiction titles. The fund contains 2 titles of magazines in the number of 5 pieces.

Nitra is said to be a university town for young people. This is because it is the seat of two universities - the University of Constantine the Philosopher and the Slovak University of Agriculture, where a total of approximately 13,500 students study in one academic year. Nitra is one of the oldest Slovak towns, the beginnings of its settlement date back to prehistoric times, as documented by numerous archaeological finds in the city. It was the seat of the Nitra principality and survived its greatest glory in the times of the Great Moravian Empire. The work of Prince Pribina, King Svätopluk and the arrival of the Thessalonian brothers Constantine and Methodius relate to Nitra. That is why university life is a crossroad of historical traditions and modern trends of contemporary life. There are many cultural institutions, galleries, museums, theaters, and cinemas in Nitra, as well as restaurants, cafes, and tea rooms, which provide adequate space for students' social life. Detailed information about the history, monuments and other facts and current social realities about the city are published on the website of the City of Nitra (https://www.nitra.sk/) and the Tourist Information Center Nitra (https://www.nitra.eu/).

Characteristics of opportunities for spiritual activities

Among the Slovak cities, Nitra boasts the oldest monuments of Christian religious culture, in this city Prince Pribina of Nitra sanctified the first Christian temple in our territory around 828, whose residues were exposed by archeologists on Martin Hill. In Nitra, the seat of the Bishop of the Diocese of Nitra, more remarkable objects have been built throughout history, especially of Christian sacral architecture, including temples, which provide adequate opportunities for spiritual life for all religions. In addition, the University of Constantine the Philosopher in Nitra has its own University Pastoral Center.

The Pavel Strauss University Pastoral Center in Nitra (UPC) was opened at UKF in December 2008. Its main goal is to provide pastoral care and spiritual assistance to students and staff of Nitra universities, institutions and student homes.

UPC organizes regular formation, worship, sacral and cultural activities. It focuses primarily on spiritual renewal, supplementing academic education with a Christian value dimension, providing spiritual guidance, counseling, and creating a space for friendly meetings of believers and seeking students and staff. It organizes lectures and discussions in theology, culture and other disciplines in order to conduct a dialogue between faith, science and culture. It provides media resources for the spiritual, human and social development of the personality, through a library, audio and video archive with religious and other topics.

UPC's website is www.upcnitra.sk.

In addition to the above options, the Department of English Language and Culture of PF publishes an electronic journal EnJoY (English Journal for You), which is published twice a year and is created by students of the department. Magazine website: http://www.klis.pf.ukf.sk/casopis-enjoy/

Furthermore, in the theater group, they can test their acting, dramatic talent, but also the creation of their own theater play in English. They develop their organizational skills at departmental events dedicated to Anglophone holidays (eg Halloween, St Patrick’s Day).

ERASMUS+

Erasmus + mobility is implemented on the basis of Erasmus + bilateral agreements signed with partner academic education institutions abroad. The departmental and faculty coordinator of the relevant UKF faculty is responsible for drafting the Erasmus agreement, selecting students and staff for mobility and recognizing the results of their mobility (list of coordinators here: https://www.ukf.sk/images/medzinarodne_vztahy/ZOZNAM_ERASMUS_KOORDIN%C3%81TOROV_NA_UKF_nove.pdf) To participate in the mobility, simply select the receiving foreign institution, create an application via the StudyAbroad application https://studyabroad.sk/ (applies only to KA103 mobilities), all required documents must be sent online via the StudyAbroad application, printed out, submitted to the department coordinator and to participate in the selection procedure at the department. The deadline for applying for Erasmus + mobility is usually in the spring (the main deadline) for mobility planned for the next academic year, but calls for additional registration are usually announced during the year. UKF publishes on its website all current information related to mobility, information on Erasmus + mobility is available here: https://www.ukf.sk/granty/erasmus

You will find the following information, from the page you can directly link to the relevant topics and instructions related to them:

The European Erasmus program has a long tradition at UKF. Since the academic year 2014/2015, it has existed as an integrated Erasmus + program for the period 2014 - 2021, which provides a wide range of mobility opportunities for students and staff.

Erasmus+ supports 3 key activities:

•   KA1 = mobility of individuals

•   KA2 = strategic partnerships

•   KA3 = policy reform, including the Jean Monnet program and the Sport program

As part of the key activity KA1 (Mobility of Individuals), the University of Constantine the Philosopher in Nitra carries out mobility studies and internships for students. Students have the opportunity to apply for Erasmus + mobility in one of the EU and EEA countries, in the case of approval of a separate Erasmus + project UKF also for mobility within a country outside the EU and EEA area.

For Erasmus mobility in an EU or EEA country (mobility KA103), further information is available on the website:

The conditions for applying for mobility in the mentioned programs are applied by UKF in accordance with the instructions published by individual institutions continuously throughout the academic year. The faculty and departmental level of organization and management of mobility is governed by instructions set by the university level. The faculty publishes information on its website in accordance with university-level guidelines, here: https://www.pf.ukf.sk/sk/erasmus.

Detailed instructions for registering students for Erasmus + mobility:

After completing the current agreements, preparing new documents and setting up the StudyAbroad application, the Department for International Relations of UKF sends information on applying for mobility ERASMUS + KA103 (Mobility of Individuals between Program Countries) for the coming academic year.

The deadline for students to register for Erasmus + KA103 mobility (study, internship) is, by default, only one, regardless of the travel date. Those interested in mobility can usually apply until 15.04. of the relevant calendar year (via the StudyAbroad application). The role of the faculty Erasmus coordinators is to collect from the departments and deliver all the applicant's documents to the UKF International Relations Department by a pre-determined deadline, usually by 30.04. of the relevant calendar year (by this deadline the faculty coordinator will check the documents and change in the application the status of applications of candidates nominated by the department to "accepted", "accepted - substitute" or, if necessary, to "unaccepted").

Access data to the StudyAbroad application:

In the StudyAbroad application (www.studyabroad.sk) each departmental and faculty coordinator has their password set and thus access.

Manuals for working with the application:

The manuals are available after logging in to the StudyAbroad application and are also published on the UKF website https://www.ukf.sk/granty/erasmus u jednotlivých kategórií mobilít KA103.

Applying for Erasmus mobility:

Mobility is applied for and the applicant is approved again via the StudyAbroad application. Applicants (students) must pass a selection procedure at the department and be listed in the minute-book of the department.

All those interested in mobility will send all the required documents to the StudyAbroad application, print them out of the application once, sign them and deliver them to the department coordinator by a predetermined date (by the date, if required by the department).

These are the following documents:

-          The student submits for study: Application for study in Slovak (application form), Motivation letter in Slovak or in the language of the given country (resp. In English), Curriculum vitae in Slovak and Consent to personal data processing (template uploaded in the application).

-          The student submits for the internship: Application for the internship in SJ (application form), Incentive letter in SJ or in the language of the country (resp. In English), Curriculum vitae in SJ, Preliminary acceptance letter from the given institution (scan of signed confirmation on letterhead of the given institution) and Consent to the processing of personal data (template uploaded in the application).

The role of the department coordinator is to check in the StudyAbroad application all submitted applications of students of its department. If someone has sent the documents via the application (application in the "sent" status) but has not delivered the originals to the coordinator, he is invited to submit them. Similarly, if the applicant has submitted paper originals of documents, but has not sent them through the application (he has it in the "new" state, but UKF does not "see" such applications), the coordinator will ask him to do so, otherwise it cannot be accepted. Everything that is sent through the application must also be submitted in paper form.

Managing the selection process of mobility applicants

-    The department coordinator will announce and carry out the selection procedure (it is his duty to inform the students in advance) and will prepare the minute-book of the Erasmus + selection procedure. The minute-book must state all candidates and the reason for their proposal or rejection. The assumption is that students from the departments are nominated for the degree of study as allowed by the given Erasmus + bilateral agreement (in the list of agreements degree of study 1 = Bc, 2 = Mgr, 3 = PhD).

-    Repeated mobility is also possible for students, provided that the student must not exceed the number of 12 months of Erasmus + mobility used at the same level of study. At the same time, it is possible for a student to submit 1 application for study and 1 for an internship for the same academic year, and with the consent of the department and vice-dean and vacancy and Erasmus + grant, both will be approved provided that the date of these mobilities must not overlap.

-    - The principle applies that internships can be carried out anywhere within the EU and the EEA, even outside institutions with which UKF Erasmus + has a bilateral agreement, internship grants are higher than for study, socially disadvantaged students can also apply for study and internship, to which will be also payed an increase in the grant for the status of social scholarship holder for each month of mobility.

-    fresh graduates can also travel for the internship under these conditions:

a)   they must be approved by the UKF for mobility before the statesmen

b)  can travel max. within a year after the state exams (Example: a student states states in May 2021, registers and will be approved in April 2021, travels for a mobility internship for 5 months from December 2021 to April 2022). Of course, it is also necessary to take into account how many months a student has already used up for Erasmus mobility before (max. 12 months also applies to graduates).

-    Unless there are serious grounds for refusing a candidate's mobility, the departmental coordinator should propose for the mobility of all candidates, indicating which of them are proposed (up to the number of mobilities as allowed by Erasmus + bilateral agreement) and which of them are alternates (surplus, but could travel later if position becomes available). In the minute-book shall also state min. 2 - 3 students - substitutes for the relevant department in case of sufficient vacancies and grants and the need for their additional filling. In this form, UKF seeks to eliminate the need to open additional rounds for registration, and in the event of the resignation of an approved student, the substitute listed in the minute-book is subsequently contacted.

-    It is recommended to nominate at least 2 students for the same host institution abroad (the experience is that students often cancel mobility if they have to travel alone).

-    It is possible to list all candidates together in one minute-book, but so that it is clear to which institution who is nominated. Students state in the application for study max. 3 partner universities according to their preference. At the selection procedure of the department, a student is assigned / proposed to one of these 3 universities / institutions and this is authoritative in the subsequent approval of mobilities in the UKF Commission for International Cooperation. After the selection procedure, the student is notified of the result of the selection procedure, including the university for which he was proposed.

-    If a student wants to travel within his / her department, but through another department, they will contact the department coordinator of another department and it will be agreed in advance to organize a selection procedure in which the student will participate and this department will enter them in its minute-book. Each department has its own Erasmus + agreements and they "guard" them primarily for their own applicants; Send the e-mail consent (agreement with another department) to the Erasmus faculty coordinator of your and the given faculty (if it is a department belonging to another faculty), as the faculty coordinator changes the status of Erasmus applicants' applications.

-    All UKF students sent to Erasmus + study must bring at least 20 ECTS from abroad for each semester of mobility (the rule applies only to Erasmus + mobility studies, with the exception of doctoral students who do not have to complete 20 ECTS / semester). The student will list the planned subjects from the offer of the partner university in the Learning Agreement (Study Agreement), which will be signed only by the head of the department and the faculty Erasmus coordinator - vice-dean for foreign relations of the faculty. The selection and nomination of students takes into account the fact that students who are proposed for Erasmus + study and will be approved, the department is obliged to recognize subjects that were consulted before or during mobility and agreed in writing in the Learning Agreement., in accordance with the Erasmus + UKF Charter. This commitment to recognition is based on the correct nomination of students for mobility to the right partner universities abroad, therefore, the student is required to submit a list of subjects from the offer of the given partner university, which he would like to study there, to the application for mobility by the date of the selection procedure at the department. This step reduces the risk of student mobility being disrupted due to subject incompatibilities, resolving subject changes and their approval during mobility (so-called Changes to Learning Agreement for Study) and possible problems with non-recognition of subjects completed abroad after returning from mobility. At the same time, it provides space for the possibility of assessing the suitability of the student in relation to the chosen partner university and to evaluate the possible degree of recognition of the subjects selected by him. The instructions on the UKF website instruct the student to look at the website of the partner university and look at the study offer before applying. Almost all partner universities require the student to select subjects (only or preferentially) from a field for which an Erasmus + bilateral agreement has been signed with his home university (ie UKF), which UKF considers an important factor in approving its students' subjects. The documents of all applicants listed in the minute-book are then sent by the department coordinator to the faculty coordinator by the deadline set by the faculty coordinator. The faculty coordinator of the respective candidates will change the status of the applicant's application to "accepted", "accepted - substitute" or "unaccepted" (only in case of explicit disagreement of the department with the applicant's departure).        In addition, he shall hand a statement to the candidates directly on the department's minute-book and sign. Then the faculty coordinator will deliver the documents of all applicants together with the departmental minute-books to the Department for International Relations of UKF by the set deadline.

In case of technical problems with the application, the applicant (as well as you as coordinators) can contact StudyAbroad technical support directly: podpora@studyabroad.sk.

Approval of Erasmus mobilities:

After the candidate selection process for the mobility on a department and faculty level the UKF Commission for international cooperation will approve Erasmus+ mobilities (study, interships) for the following academic year. Commission approval results are then published on the university web page in Erasmus section https://www.ukf.sk/granty/erasmus (in respective categories of Erasmus+ mobilities).

Past experiences show us that every student that shows interest in a mobility and shows expected language skills along with professional competences during the selection process will be granted an opportunity to realise a successful mobility at any level of study.

-    Further information about Erasmus+ can be found on SAAIC web page – national agency for Erasmus+ program: www.erasmusplus.sk or on the web page of European executive agency in Brussels (EACEA): http://eacea.ec.europa.eu/erasmus-plus_en where you can also find precious information about submitting Erasmus+ projects (Strategic partnerships, Capacity building, Joint study programs etc.)

Process management before, during and after the mobility

Before the Erasmus mobility student submits Study contract / Internship contract for approval. The purpose of this contract is to ensure transparent and effective preparation for a successful study/internship and to make sure that the student will have their successfully completed courses approved. A template used with Erasmus+ mobilities is published on the UKF web page - study in program countries (KA1), for Erasmus + mobility - study between a program country and a partner country (KA1) and for Capacity Building projects in the university sector in which they are involved. UKF recommends using this template for study contracts. However, if universities have their own information system for creating study contracts or result statements they can keep using it, on the condition that all information from the recommended template is present. Further information can be added if needed (e.g. information about consortium coordinator). The document format can also be adjusted.

Instructions for completing and managing the study contract

BEFORE MOBILITY (STUDY) – administrative data

Before the mobility it is necessary to fill out the contact details of the student on the first page, for both sending and receiving institution. All three parties must agree to the part filled before the mobility. In case of some information already being known to all three parties it is not necessary to repeat them in this template. Majority of the information about the student of both sending and receiving institutions listed on page 1 must be included in the Mobility tool+. Subjects (educational components, outputs) – Table A and B

The proposed mobility program contains preliminary month of the beginning and end of the agreed study program, which the student will be a part of abroad.

The study contract must include all subjects that the student will complete at the receiving institution (Table A) while also containing the subjects of the sending institution that will be replaced by successful completion of the study program abroad (Table B). Both tables must be filled out before the mobility. Rows and columns can be added to the table if needed. Tables A and B must be listed separately and cannot be combined. That is because it has to be clear that some subjects studied abroad do not have to correspond with subjects at the sending institution. The aim is rather for the group of study results achieved abroad to replace the group of study results at the sending institution without the need for agreement between certain modules and courses.

In countries belonging to the European Higher Education Area (EHEA), the academic year of full-time study consists of courses with a total of 60 ECTS credits. For mobilities shorter than one academic year the number of credits should roughly correspond to a proportional number of credits (or equivalent units for countries outside of EHEA). If student attends additional courses beyond what their study program requires, these additional credits (or equivalents) must also be included in table A.

If the student carries out their diploma thesis / dissertation work research at the receiving institution, the subject “Diploma Thesis“ or “Dissertation“ will be included in table A. If there are no credits awarded for this subject, the option “not applicable“ will be added. If it is relevant for the sending institution, credits for the work on diploma thesis / dissertation will be included in Table B. The sending institution should list a group of educational components which the student should complete under normal circumstances and which will be replaced by the study program at the receiving institution in Table B. The total number of ECTS credits (or equivalent) in table B should correspond with the total number of ECTS credits (or equivalent) in Table A. Any exception should be clearly stated in an Annex to the study contract and agreed upon by all parties. Example of justification for the difference between total number of ECTS credits (or equivalent): student already collected enough credits and does not need some of the credits obtained abroad.

The European Commission recommends that institutions set aside space for mobility in their study programs (so called mobility windows). If the sending institution accepts all credits from Table A automatically, as a part of study program, which is typical mainly in case of the so called “mobility window“ it can simplify the table and limit it to just one line as follows:

The sending institution will determine what rules to follow in a case of the student not successfully completing some of the subjects from their study program abroad and will provide a web link referring to these rules.

Level of language competences

The recommended level of the main language used at the receiving institution is stated in interninstitutional agreement between sending and receiving institution. Sending institution is responsible for providing a language support for the selected candidates in order to reach the desired language skills before the start of the mobility.

The level of language skills in the main language of the receiving institution, which the student is obliged to reach before the start of the mobility, must be recorded in the study contract or rather in the contract for the provision of financial support. In case of student not reaching desired level of language skills at the time of signing of the study contract (or the contract for the provision of financial support), sending university will agree with the student on the method of acquiring the given level by the beginning of mobility. They also agree on the type of language support that will be provided to them by the sending or receiving institution.

Erasmus + online language training (OLS) is meant to help Erasmus+ students to get better in the main language of the receiving institution before and during their stay abroad and therefore to ensure better quality of education they receive.

In the case of a mobility between program countries and languages covered by the OLS the student must undergo OLS language assessment before the mobility and then final assessment after the mobility. This is not required from native speakers or in exceptional cases (students with disabilities not able to complete the assessment). Passing OLS assessment is a basic requirement for the mobility. The assessment takes place after selection of candidate and before signing of the contract. Based on the result of the OLS assessment, the sending institution may provide the student with a license for OLS language course to help him develop his language competences. Participants who have achieved B2 level or higher in the first assessment of the main language of communication may take part in the language course in that language or the language of given country, as long as it is available within OLS. The sending institution will make the selection directly in OLS. More options for participants in the OLS language course (OLS Live Coaching, MOOCs, Forum and Tutoring sessions) can be found at http://erasmusplusols.eu.

Signing of the study contract

All parties must sign study contract before beginning of the mobility. The contract does not have to be in paper form with original form, copies with signatures or electronic signatures are also acceptable, depending on the national law or internal rules of the institution.

DURING MOBILITY (STUDY) – Extraordinary changes in the proposed study program

Changes in mobility study program should only occur in exceptional cases, since all parties have previously agreed on the set of courses to be taken abroad and are listed in course catalogue. The host institution is obliged to publish the course catalogue early enough before the start of the mobility and update it regularly. Each party can request changes in the study program within five weeks from the beginning of each semester. The changes should be agreed upon as soon as possible, two weeks after submitting the request at the latest. In the case of prolongation of the mobility, the student submits the application no later than one month before the original end of the mobility. All changes are recorded in tables A2 and B2, while the tables A and B remain unchanged. All tables must be attached to all communication. Changes made to the abroad study program are shown in table A2. Use numbers as reason for the change – see final endnote 12 in study contract.

Confirmation of changes

All parties must approve the study contract. The European Commission would like to limit the use of paper and therefore accepts information exchange in electronic form, e.g. email (scanned or digital signatures). However, if the national legislation or internal regulations require original signatures, the recipient may add space for signatures.

AFTER MOBILITY (STUDY) – Statement of results from the host institution (Table C)

The receiving institution is obliged to provide the sending institution and the student a statement of results (Table C) within the period stated in interinstitutional contract (usually no more than 5 weeks after the publication / declaration of the student’s results in receiving institution).

The transcript of the results can be sent in electronic form or in another way available to the student and the sending institution.

The statement of results from the receiving institution (Table C) should correspond with the educational component agreed upon in table A and in table A2 if relevant. In addition, information on the awarded marks should be also included (web link for relevant information should suffice).

The beginning and end of the mobility is:

-          Beginning of the mobility is the first day when the student must be present at the receiving institution. This may be the start o the first course, a welcome event, informative meeting for students with special needs or a language and cultural course; it can be a language and cultural course organised by a different institution if it is considered relevant by the sending institution.

-          End of the mobility is the last day when the student is present at the receiving institution, not the date on which they leave. This may be the end of examination period, end of a course or compulsory personal participation in classes.

Statement of results and recognition at the sending institution (Table D)

After receiving statement of results from the receiving institution, the sending institution should recognize the student’s successfully completed courses in the total sum of ECTS credits (or equivalent) listed in Table B (if relevant Table B2) and count them as part of the study without the student needing to finish additional courses or exams.

If required, the sending institution will transfer the marks obtained abroad, while taking into account the information on rewarding marks from the receiving institution (for universities from program countries, see methodology described in ECTS user manual). The European Commission recommends using the EGRACONS tool for this process.

The sending institution is obliged to provide the student with a statement of results (Table D) or to record the results in a database available to the student, generally within 5 weeks after receiving the statement of results from the receiving institution. The student will have the opportunity to report on the recognition of educational results by the sending institution via an EU survey or other additional online survey.

Diploma supplement: The diploma supplement issued by the sending institution should contain the information contained statement of results from the receiving institution with precise names of the subjects the student has completed abroad. This applies at least to the diploma supplement issued by the sending institution from program countries.

Note on study recognition: UKF, as a sending institution, will recognize all credits (or equivalents) that student acquires during a mobility abroad, which are specified in the latest version of study contract as included in their studies (Table B and if relevant Table B2), and includes them as a part of their studies, without the need to undergo additional courses or exams at the sending institution. UKF follows international documents available on the internet: ECTS user manual: http://ec.europa.eu/education/tools/ects_en.htm a EGRACONS Grade Conversion Tool: https://tool.egracons.eu/

Instructions for using the internship contract

The aim of the internship contract is to ensure transparent and efficient internship preparation abroad and to ensure that the interns will have their internship recognized as successful. This template for internship contract is used with Erasmus+ mobility – internships in KA103 countries. UKF recommends using the template. However, if institutions have their own information system for creation of an internship contract or statement of results, they can keep using it on the condition that all information from the recommended template is present. Further information can be added if needed (e.g. information about consortium coordinator). The document format can also be adjusted.

BEFORE MOBILITY (INTERNSHIP)

Before the mobility it is necessary to fill out the contact details of the intern on the first page, for both sending and receiving institution/company. All three parties must agree to the part filled before the mobility. In case of some information already being known to all three parties it is not necessary to repeat them in this template. Majority of the information about the student of both sending and receiving institutions/companies listed on page 1 must be included in the Mobility tool+.

Mobility Program of the receiving institution/company (Table A)

The proposed mobility program contains preliminary beginning and end of the approved internship which the intern will be a part of, its name and number of work hours per week. Detailed program of the internship must include the tasks that are to be performed by the intern, together with their schedule.

In addition, the internship contract must predict the knowledge, skills (intellectual and practical) and competences (learning outcomes) which the intern will acquire by the end of the internship, such as academic, communication, innovative and creative, strategically organizational, team, initiative, decision-making, informative and communicational technologies, foreign language, adaptability etc.

If the internship takes place in a digital skills field, the option “Yes” will be marked in the nearby box.

A digital skills internship is defined as any internship, in which the trainee performs one or more of the following activities: digital marketing (managing social media, web analysis) digital graphical, mechanical or architectural design, development of apps, software, scripts or web pages, installation, maintenance and management of IT systems and networks, cyber protection, data analysis, data acquisition and visualization, programming and training of robots and artificial intelligence application. General customer support, order management, data input or administrative tasks are not a part of this category.

Monitoring plan describes how and when during the internship will the intern monitored by the sending institution, receiving institution / company and if relevant, by a third party. The evaluation plan describes the evaluation criteria that will be used to evaluate the internship and its learning outcomes.

Language competences

The recommended level of language competences in the main working language should be set by the receiving organisation / company in a way that ensures the intern is properly integrated into the organisation / company. In order to define language competences the UKF applies Common European Framework of Reference at http://europass.cedefop.europa.eu/en/resources/european-language-levels-cefr

The level of language competences which the student is obliged to achieve before the beginning of the mobility can be found in the internship contract, or in the contract for provision of financial support. In case of student not reaching desired level of language skills at the time of signing of the internship contract (or the contract for the provision of financial support), they are obliged to reach them with the support provided by the sending institution (either through courses, which can be financed by organisation support grant or through Erasmus+ online courses).

Erasmus + online language training (OLS) is meant to help Erasmus+ interns to get better in the main language of the receiving institution before and during their stay abroad and therefore to ensure better quality of education they receive.

In the case of a mobility between program countries and languages covered by the OLS the student must undergo OLS language assessment before the mobility and then final assessment after the mobility. This is not required from native speakers or in exceptional cases (interns with disabilities not able to complete the assessment). Passing OLS assessment is a basic requirement for the mobility. The assessment takes place after selection of candidate and before signing of the contract. Based on the result of the OLS assessment, the sending institution may provide the intern with a license for OLS language course to help him develop his language competences.

Sending institution (Table B)

Sending institution is obliged to recognize the interns learning outcomes obtained after successful completion of the internship. There are three different options for mobility – internship:

1.     The internship is a part of the study program (counts toward the degree of study);

2.     The internship is voluntary (not compulsory for the degree);

3.     Internship of recent graduates

Accident insurance

We recommend that either the sending or receiving institution / company provide the intern with a minimal insurance cover and that they fill in information in tables B or C accordingly. The intern must have at least health insurance (to cover damages done to the intern in a workplace) and a liability insurance (to cover damages done by the intern in a workplace).

Receiving institution (Table C)

The receiving institution / company will provide the trainee with the necessary equipment and support (including mentoring and supervision), and let it be known whether the intern will receive financial support or any other form of support in addition to their Erasmus+ grant.

The receiving institution / company will issue a certificate of completion of the internship within 5 weeks of the end of the internship.

Signing of the internship contract

All parties must sing the internship contract before the start of the mobility. The contract does not have to be in paper form with original signatures, a scanned copy or electronic signatures will suffice, as long as the national law and integral regulations of the institutions allow it.

Extraordinary changes in the proposed mobility program (Table A2)

Table A2 needs to be filled out only in the case of changes being made to the original internship contract. In this case, Table A remains unchanged and the changes are registered in Table A2. Both tables must be attached to every communication. If there are changes to the mobility program, they should be confirmed by the sending institution as soon as possible. If the changes made are related to the extension of the mobility abroad, the intern may submit the changes no later than one month before the original planned end of the internship.

Changes of responsible persons

Sending and receiving institutions will record this information in the internship contract in the event of a change of responsible person.

Confirmation of changes

All parties must approve of the internship contract. The European Commission would like to limit the use of paper and therefore accepts information exchange in electronic form, e.g. email (scanned or digital signatures). However, if the national legislation or internal regulations require original signatures, the recipient may add space for signatures.

AFTER MOBILITY (INTERNSHIP)

Certificate of completion of the internship from the receiving institution/company (Table D)

Receiving institution / company is obliged to provide the sending institution and the intern with the certificate of completion no later than 5 weeks after completion of the internship. The certificate can be provided in electronic form or in another way available to the student and the sending institution. It must contain all elements listed in Table D.

Beginning of the mobility:

-          Beginning of the mobility is the first day when the intern must be present at the receiving institution. This may be the first work day, a welcome event, informative meeting for students with special needs or a language and cultural course; it can be a language and cultural course organised by a different institution if it is considered relevant by the sending institution.

-          End of the mobility is the last day when the intern is present at the receiving institution for internship purposes, not the date on which they leave.

Statement of results and recognition at the sending institution

The sending institution should recognize the internship in accordance with the conditions stated in Table B. The sending institution will provide the intern with a statement of results or record the results in a database available to the student, generally within 5 weeks of receiving the internship certificate, without any additional requirements not previously agreed upon. The statement of results must include at least the information to which the sending institution agreed before the mobility in the internship contract, e.g. number of ECTS credits (or equivalent) and awarded mark (may also be in form of passed / failed)

Diploma supplement

Diploma supplement issues by the sending institution should contain information included in certificate of completion from the receiving institution. This applies at least to the diploma supplement issued by the sending institution from the program countries. Registration of the internship in the diploma supplement is irrelevant if the intern is a recent graduate.

We recommend mentioning the internship in the intern’s Europasss-Mobility document, especially for the recent graduates if the sending institution agreed to it before the mobility. UKF as a sending institution recognizes the credits obtained by an intern for their internship, which are listed in the latest version of internship contract (Table B of the original internship contract), without any requirements not agreed up before the mobility.

10. - Feedback on the quality of provided education
a) - Procedures for monitoring and evaluating students' opinions on the study programme quality.

Students are part of the quality of provided education evaluation and are included in the process of creating, approving and monitoring study programs. Persons responsible for the realization, development and quality of study programs, teachers, study advisors actively communicate with students of individual study programs, re-evaluate their attitudes toward study programs and study subjects. Reflections of students then become starting point for innovation in the content and structure of study programs through betterment of recommended resources and conditions for completing the course.

UKF students have in accordance with Act no. 131/2002 on higher education institutions once a year the possibility to evaluate the study program through anonymous questionnaires. This right is incorporated in the Study regulations of UKF and is guided by Directive no. 8/2018 Principles of evaluation of education and teachers by university students. Feedback is provided by students through anonymous electronic questionnaire available in academic informational system. The evaluation has been carried out since 2014. Students have the opportunity in both winter and summer semester to express their attitudes towards the following indicators of quality of the educational process: study program, study subject, implementation of education, evaluation of students by teachers, professional and didactic competence of teachers, study resources for support of education of students, material and technical provision of teaching. Each area in the questionnaire has several items, provide a clearer picture on the evaluated area. The organisation of the evaluation process is ensured by individual faculties in cooperation with students who participate in the evaluation of results. At the Faculty of Pedagogy at UKF the activization for student assessment in AIS is provided through student emails from the position of member of the student part of the academic senate.

b) - Results of student feedback and related measures to improve the study programme quality.

The individual management structures of the faculty workplaces are acquainted with the results of the evaluation. Based on the evaluation of individual areas and identified shortcomings, measures are proposed and adopted at the level of individual departments and eventually at faculty level. The adopted measures as well as overall outcomes of the evaluation are talked about at the academic senate of the faculty of pedagogy, UKF, and are a part of annual report presented at the meeting of academic community, scientific board and published at its website.

The key remarks and identified shortcomings represent a source of accepting of measures aimed at improving education at faculty of pedagogy. In addition to innovation of contents of study programs, recommended literature, improvement of material and information equipment some of the measures undertaken by the faculty were the appointment of a faculty schedule coordinator in 2018, who oversees creating schedules for individual study groups and partaking in ESF project at UKF in Nitra, which aimed at support and increase in number of teaching practice hours for students in 2020 and others.

c) - Results of graduate feedback and related measures to improve the study programme quality.

The university obtains information about the success of employment of its graduates through various means, such as alumni club, organization of further education and rigorous procedures for graduates, organizing courses and trainings for example in projects with ESF support. Many former graduates of the study programs cooperate with the faculty in the position of training teachers. Graduates are invited to various professional events and conferences organized by the faculty or university. In 2020, the faculty of pedagogy organized online survey of faculty graduates aimed at determining satisfaction with the implementation of state exams, which took place online because of the pandemic.

Monitoring of the employment rate of graduates is carried out by the faculty through address communication with practice representatives (for example management of primary and secondary schools and the city of Nitra), direct communication of the department of pedagogical practice with representatives of training schools and school facilities, communication via social media as well as communication with representatives of schools and other institutions at professional methodological events. The opinions of graduates about their professional careers are published on the website and in media and presentation materials of the faculty and university.
